We’re looking for an experienced Executive Assistant (EA) to join our team in Helsinki. In this role you will support 2-3 of our VPs of Engineering. As part of your daily work, you’ll act as a strategic partner and trusted enabler — ensuring our Engineering leadership can focus on leading teams, driving strategy, and delivering impact while you handle the operations, coordination, and create structure.

You’ll collaborate closely with other EAs and cross-functional teams, working in a fast-paced, international environment. If you are a curious, detail-oriented, proactive doer who values high customer care, this definitely is the role for you.

What you’ll be doing

Operational Excellence

  • Lead complex calendar management across multiple time zones, ensuring priorities are reflected accurately.
  • Plan and coordinate travel, events, and offsites — from logistics to communication and follow-ups.
  • Own administrative operations: expenses, meeting logistics & team coordination.

Strategic Partnering & Enablement

  • Anticipate the needs of your VPs and make sure their time and focus match their priorities — proactively flagging when energy drifts to the wrong things and helping course-correct.
  • Run and continuously improve the right leadership routines — from 1:1s and team cadences to planning and review cycles — ensuring they are purposeful, well-prepared, and lead to action.
  • Prepare your leaders for key meetings and decisions with the right context, materials, and follow-ups, while connecting the dots across teams to keep everyone aligned and moving forward.

Relationship Management

  • Represent your VPs with discretion, empathy, and clarity when interacting with others inside or outside Wolt.
  • Keep an eye on what’s happening across teams and upcoming initiatives — proactively flagging overlaps, dependencies or priorities that may need attention.
  • Partner closely with fellow EAs to align calendars, leadership routines and shared events across organisations, creating consistency and calm in a busy environment.
  • Share learnings and best practices, contributing to the collaboration within the EA community to continuously raise the bar for how we work.

You’ll make these people shine in their work and while the tasks in this role will vary throughout the day, weeks and years to come, you’ll get excited by the unknown. And so, we are looking for a doer who does not get afraid of new things rather gets energy out of figuring things out.

  • You have experience in a similar role be it in a multinational and/or fast-paced and/or complex stakeholder environment. Speed and change are part of our daily routine so we are looking for a person who thrives in such an environment.
  • You’re highly organized, detail-oriented, and skilled at managing multiple priorities simultaneously. Prioritization is definitely a skill to master where we all become better at it every day!
  • You enjoy learning from business and have a natural ability to figure things out as we take ownership beyond the obvious. This means that you want to understand how your work is linked to overall business goals and own tasks requiring your attention proactively with enthusiasm to constantly challenge yourself and us becoming better in what we do.
  • Advanced skills in calendar management, Google G Suite tools, Slack, Zoom and MS Office.
