We are looking for a Management Assistant Trainee to join our team in Helsinki to provide administrative support as part of our Executive Assistant team. Your job is at the very core of what we do at Wolt: you make life easier for people around you and go beyond the obvious while thinking for others on their thousand steps ahead. And you’ll figure it out! If you are a detail-oriented, all-around doer and problem solver who values high customer care, this is definitely the role for you.
This is a fixed-term internship until the end of 2025. We would love for you to work full-time throughout this period, but we will also consider applicants who can work full-time until the end of 2024 and at least three selected days per week during 2025. And - we would love for you to start now!
What you’ll be doing
You’ll work side by side with our Executive Assistants on travel arrangements, help organizing meetings and events (from mapping out potential venues to getting offers, to actual preparation of making things happen), managing a wide range of essential administrative tasks including calendar management, invites, communications materials, vendor creation, expenses and documents. You’ll also assist in coordinating the world of Wolt’s senior stakeholders that our Executive Assistant team closely collaborates with. As you get going and grow in the role, we’ll adjust your work scope together to cover more advanced tasks.
You should be comfortable running different kinds of tasks with enthusiasm and a high level of quality, be the task big or small, complicated or easy, time-consuming or quick to handle. And don’t worry - you won’t be working alone. As the junior member of the team, you’ll report directly to our Executive Business Partner (Nelly Nilsson) with whom you work closely with. Our whole Executive Assistant team will make sure you can thrive in your work, we all are team players and want you to succeed.
Qualifications
- You have a background from customer support and/or care functions. No previous experience from management/executive/administrative assistant positions is required but if you have previous experience from travel and/or event management or just generally arranging stuff and making things happen, you will definitely shine in this role.
- You have attention to detail and care a lot about your customers. Very concretely this means that you are a master of double and triple checking everything you do runs smoothly and ensuring what you do is world class experience for people you work with. Your goal is to leave and return things better than you found those.
- You are an all-around doer who does not get afraid of new things. You have a natural ability to figure things out and a curiosity to learn and take ownership of new tasks.
- You are a confident and kind communicator with excellent English skills.
