Join Wolt as our Workplace Manager for our Swedish office! 

You'll be the heart of our office culture, ensuring smooth operations and a positive atmosphere. You will collaborate across teams, bringing your natural knack for coordination and problem-solving. 

With your big heart and can-do attitude, you'll thrive in this role. You'll oversee our Stockholm HQ and Malmö satellite office, anticipating and meeting team needs. What you’ll be doing

This is a multi-faced role, but the major areas of responsibilities including tasks are;

  • Employee engagement and satisfaction
  • Work with the People teams and the Swedish leadership team to craft Wolt's employer branding strategy and implement it locally in Sweden

  • Prioritize employee satisfaction by promptly addressing concerns and needs, including environmental, health and safety, and quality programs

  • Working alongside local and global stakeholders, develop and maintain a detailed understanding of Wolt’s business and key factors influencing their service requirements.

Administration

  • Take charge of implementing policies, procedures, and programs to ensure a well-managed and comfortable workplace, prioritizing functionality, safety, sustainability, and efficiency

  • Event coordination, creating and communicating processes for employees to self-manage large internal events, and coordinating workplace-specific event-related tasks such as workplace activation initiatives, cleaning, room setup and building specific protocols.

  • Collaborate with Global Real Estate, Facilities, Safety, Security, and Sustainability teams to roll out global policies and initiatives Woltwide.

Office and vendor facilitation

  • Serve as the main point of contact for office-related matters, including employees, guests, stakeholders, and vendors, while establishing clear KPIs and contract management processes, ensuring efficient service agreements are met.

  • Own and manage the office budget for Sweden.

  • Oversee day-to-day operations of the office team, handling deliveries, invoices, reception staffing, and ensuring employee and guest satisfaction

  • Coordinating the activities, financials, vendors, and staffing required for current and future needs of the building, infrastructure and operations including owning the country facilities operating budget.

  • Act as an on-site liaison during office expansions, overseeing space planning, move coordination, and accommodations for new hires

  • Takes ownership and solves problems independently and proactively

  • Several years of experience in Office, Workplace, or Facilities Management within a fast-paced international environment

  • Passionate about providing exceptional service

  • Skills in Vendor Management, with bonus points for Event Management experience

  • Excellent written and verbal communication skills in English and Swedish

  • Proficient in digital collaboration tools like GSuite, Slack, and Zoom
     

This is an interim position during maternity leave, but we can potentially transition into a fixed-term contract.
